SkillsServe 4.31 Release Notes

 

Overview


Our latest SkillsServe improvements include HTML emails and we’ve also created a new Objective Dropdown lists for Forms.


HTML Emails

Benefits HTML emails allow you to brand, customise and pretty much do what you like with the look of emails sent from SkillsServe improving the user experience of emails.
   
How it works We can now create a branded email template that all emails in SkillsServe will use.

Objective Dropdown Lists

Benefits The new Objective Dropdown list feature adds an extra level of depth to objectives in Forms. They can be used to record a status to keep track of objectives, for aligning to wider business objectives or a way of rating success in fulfilling objectives.
   
How it works Objective Dropdown lists are added when creating a Form Template. Up to two different configurable dropdown lists can be used when recording objectives in addition to the existing configurable free text fields.

In a published Form you can choose the selection from the available values – this can be set so users and/or manager pick them as part of the form workflow.

SkillsServe Quarterly Roadmap Update


It’s been three months since our last roadmap update so it’s time to look at what’s coming up soon.

Before we do, here’s a recap from our last quarterly roadmap – all of these items have now been released:

Here are some of the great new features we’re working to deliver over the coming months:

Programme Builder and Catalogue Enhancements
We’re redesigning the catalogue and content management areas of SkillsServe to make it even easier to build programmes and register yourself or your staff onto appropriate learning and assessments. It will also make organising your own content easier than ever.


eCreator Enhancements
We’ve had a fantastic response to the launch of the eCreator and have been working hard to incorporate your feedback. Most of the enhancements focus on usability such as making it easier to navigate between pages when editing and seeing which templates have been used. We will continue to enhance the eCreator with ease of use being our most important goal.

Objectives Ratings for Performance and T&C Forms
Due to popular demand we’re adding the ability to add ratings to objectives within forms. This means objectives can now have a configurable selection list with values that you choose when setting up the form template. These can be used for ratings or anything else you’d like to have a predefined select for, such as using them for aligning to company-wide objectives.
 
eCreator and eBook Offline Access

We’ve been working on a mobile and tablet App providing offline access to eCreator courses enabling you to study when you don’t have an internet connection – great for travelling by train or plane. When you next have a connection the App will send your usage data to SkillsServe to award CPD and enable reporting.
 Quarterly Update 2
Diagnostic Assessments
Our new diagnostics assessments will enable you to automatically build assessments from your programmes and courses to help identify knowledge gaps. This will help measure the improvement in knowledge between taking the diagnostic and assessing the individual after completing identified learning.

New ContentServe
Our new and significantly improved ContentServe solution will be launched early next year. This enables some of our best SkillsServe features and content to be made available to users on your legacy learning management system. This includes programmes with our graphical pathways, eCreator courses, video upload and tracking, robust assessment system and detailed reporting. In addition to the great SkillsServe features, this also enables you to link to our compliance off the shelf content ensuring your users always have access to the latest content without you having to upload a new course every time a piece of legislation changes.

SkillsServe 4.30 Release Notes

 

Overview


We’ve been busy at Unicorn Training and we’re pleased to announce that SkillsServe 4.30 launched in November 2014 with a number of enhancements to the platform.

What’s new in this version?


Changes to Appraisal/Form Workflows

Benefits We’ve added two new workflows that can be used when creating a form template.

These can be used for new scenarios like using forms for surveys and sharing training needs, opening up possibilities beyond appraisals and T&C schemes.

We’ve also added the option for managers to add a score and pass status to form enabling paper based assignments or free-form question assessments.
   
How it works

The two new workflows are:

  • user > manager > complete
  • user > complete

These are selected when you create a new form.

The user-> complete workflow allows users to submit a form and mark it as complete themselves, much like a survey.

When setting up a form template you can select the option “Form will be marked by manager”; this adds the option to input a mark and a status of pass or fail when signing the form off.

Manage Field Visibility in Forms

Benefits It’s now possible to control who can see specific fields in forms. This can be used in scenarios like having ratings in appraisals or providing additional manager guidance notes.
   
How it works When creating a form template and adding a “standard section item” you can now decide whether or not the user and/or manager will see the text in this new item.

Prevent Users from Viewing Completed Forms

Benefits We’ve added the option to prevent users from seeing a form once they’ve submitted it to their manager as part of the workflow. This is useful for free-form assessments where you might not want users to see the assessment questions once completed.
   
How it works By using the option “Prevent users from viewing submitted form” an administrator can now choose whether a user can see a form or appraisal after they have submitted it back to their manager. Users are also unable to view the form/appraisal once it’s been completed and the workflow’s been fulfilled.

Form Change History

Benefits It’s now possible to see the changes made by the other participant in a form workflow, such as seeing what the user has changed since the last review cycle in an appraisal.
   
How it works When the feature is enabled users can open the form via their training plan after it has been submitted to their manager, this will present them with a snapshot of the form or appraisal as it was when it was submitted to the manager. Any consequent changes will only be visible to the user once the form has been submitted back to them.

Exporting More Data from Reports to Excel

Benefits We’ve now enhanced the Excel downloading from reports. It will now include all records in Excel 2007+ format. This ensures any non-standard characters are displayed correctly in the downloaded file.
   
How it works Simply use the export option when running a report and select XLS (Excel) or XLSX (Excel 2007+) to download the new Excel format.

We’re pleased to announce SkillsServe 4.29 launched in October 2014.

What’s new in this version?

Editing the Description and Objectives for all Activity Types
Is it a new feature or an upgrade? This is an upgrade to an existing feature in SkillsServe.
How it works… Description and Objectives fields are now available for all activity types and can be edited by administrators with access to the Content Manager. Using the rich text HTML you can give users more information about your activities on SkillsServe.

Why is this beneficial? This offers administrators the chance to give a bit more information about activities if they so wish and having these editable fields also offers more consistent terminology and features across all activity types and SkillsServe.

Shellshock



Heartbleed

Hello,



You may have heard of Shellshock, the latest security alert affecting many web services globally. Shellshock allows attackers to take over computers via vulnerable Bash shell software.

The Shellshock bug only affects Unix, Linux and Apple OSX based platforms. The Unicorn platforms are based on Microsoft software and Microsoft have officially confirmed that the bug does not affect their products. We’ve also had confirmation from our networking suppliers that their products are unaffected.

So you can rest assured that none of the Unicorn platforms, including the ones listed below, have been affected:

SkillsServe 4.28 Release Notes

 

Overview


We’re pleased to announce SkillsServe 4.28 launched in August 2014.


What’s new in this version?

Multiple CPD Schemes
Is it a new feature or an upgrade? This is an upgrade to SkillsServe’s CPD system.
   
How it works… It’s now possible to set up multiple CPD schemes on SkillsServe meaning that you can adhere to the CPD requirements of multiple professional bodies. Users are able to easily switch between CPD schemes either through the CPD portlet on the homepage or via the CPD Log.

Why is this beneficial? This feature helps to keep different CPD schemes in one place, making them easier to manage. Rather than changing between different Learning Management Systems to log activities for CPD, you can switch between schemes on one site in two clicks.

We’re pleased to announce SkillsServe 4.27 launched in September 2014.

What’s new in this version?



Is it a new feature or an upgrade? This is a brand new feature, not only to SkillsServe but the eLearning industry as a whole.

This release sees the introduction of the eCreator, SkillsServe’s built-in authoring tool.
   
How it works… Using the eCreator administrators can now create eLearning content on SkillsServe. Courses created with this tool can be edited at any point, so if you need to update a course this can be easily done – even on a tablet!

Pssssssst Heard What’s Coming Soon?

Every quarter we release a roadmap plan of what is coming soon to our SkillsServe learning and development platform.

Why? Because we want to make SkillsServe work even better for you, with many of the updates and/or new functions coming as a direct result of client feedback.

Although we love surprising our clients, “We didn’t know you did that too!” isn’t an expression we want to hear from you too often……

We want you to know exactly what we’re up to and to be as enthusiastic as we are about the potential the ‘coming soons’ bring to making your work challenges even easier, and yep, enjoyable.

So here’s some of the scheduled SkillsServe highlights for this coming quarter……

eCreator

We are very excited about eCreator!

The new eCreator is a user-friendly, flexible authoring tool integrated into SkillsServe, which allows managers/admins to create quality learning content quickly, easily and with minimal effort.

All courses created in the eCreator are mobile compatible and can even be created and edited on an iPad.

The early ‘test’ content we’ve delivered for some key clients has been extremely well received and we can’t wait for everyone else to start using it.

Multiple CPD Schemes

SkillsServe’s CPD system is going to support multiple CPD schemes on a single SkillsServe site. Useful hey? This means a range of professional body CPD schemes can be added as well as a company’s own corporate schemes. Users will be able to select their relevant CPD scheme. Changing the selected scheme will recalculate the outstanding time or credits based on the target and scheme rules.

Report API

The finishing touches are currently being made to the SkillsServe report API. This function will enable access to SkillsServe report data in real time from external resources. It will also help us build custom graphical dashboards based on a client’s extended reporting requirements.

Catalogue Library Management

Restricting access to users below a particular branch of the organisation tree is being added. This enables specific users to manage their organisation or division but limit their access to confidential information for their peers.

Form Snapshots

Form workflow functionality is being enhanced so each individual within the workflow can easily see the changes made within a form since the last time they received it. We are also adding the ability to see the change history, a really useful function for long-running appraisal periods for example.

Organisation (Restricted) Reporting Scope


Is it a new feature or an upgrade? This is a new Feature to SkillsServe
   
How it works… This new reporting scope will allow the administrator to report on all users in an organisation, except from those in their own organisation unit.

Why is this beneficial? This will benefit users that require visibility of users outside of their organisation unit. An example of this will be in an organisation with a large Human Resources department where only visibility outside the organisation unit is needed.

What’s new in this version?

Catalogue Publishing Changes


Is it a new feature or an upgrade? This is an upgrade to how activities are published into catalogues.
   
How it works… The catalogue publishing interface has been re-designed to improve the workflow for Content Administrators. The list of available catalogues now appears at the top of the screen, and is sorted by catalogue name.


The catalogue structure now expands only after each level has been tagged so that only the relevant areas of the catalogue structure are displayed.

We will be delivering some exciting new features and enhancements to SkillsServe over the coming months. Here are some highlights:

eCreator

SkillsServe 4.24 Release Notes

We’re pleased to announce SkillsServe 4.24 launched in July 2014.


What’s new in this version?

Enable CPD Activities

Is it a new feature or an upgrade? This is an upgrade to an existing feature.
   
How it works…

We’ve made it easier for you to view and edit CPD activities completed online from within your CPD log. All online activities can now be edited by clicking the name of the activity. Clicking the status also opens up the full edit window instead of just the reflective statement, making it easier to reflect on what you’ve learnt.

We’ve made the online CPD editor just like you’re used to seeing for your own CPD records. Fields automatically set by the online activity will be read-only.

The CII CPD scheme now asks you to complete your own development need and learning outcomes for online activities. The learning outcomes will default to the learning outcomes or activity description provided by the system. These required fields are configurable for other CPD schemes if required, but changes won’t affect non-CII schemes by default.

   
Why is this beneficial? This is beneficial for users and professional bodies who require the ability to edit their own Development Needs and Learning Outcomes on all types of CPD activities.

New SkillsServe Reports

 

We’re pleased to announce that brand new reports have been created for SkillsServe. Put together using data that was captured from our most popular reports and valuable client feedback these new reports will provide you with accurate real-time information at the click of a button. A variety of new reports have been made available to give data on Assessments, Online Activities, Organisation Structure, Programmes and, where applicable, CPD.
Here are some more details on each of the new reports:

Assessment AttemptsAssessment attempt details showing score and attempt duration.

Assessment StatusAssessment completion status for registered users.

Assessments Not CompletedAssessment completion status report showing users that have not completed assessments that they have been registered on.

Assessments with Maximum AttemptsReturns results on assessments that have a maximum attempt applied.

Manager Staff
Shows all the line managers and their associated direct reporting staff.

Online Activity
Basic overview of each individual’s online learning and assessment usage since their accounts were created.

Organisation Structure
Organisation structure report displays users and their role in the system.

Organisation Unit Completion OverviewShows the breakdown of the number of activities completed, incomplete and not started for each organisation unit that should have been completed by today.

Overdue ActivitiesDisplays all overdue activities for users

Overdue ProgrammesDisplays all overdue programmes for users

Programme Details
Number of times a user has accessed learning material.


There are also three reports specific to those who are part of the CII’s CPD scheme:

CPD Details
Shows the activities in the user’s CPD log, user’s total CPD hours, activity type and status.

CPD Status
This report shows you which users that report directly to you have completed their CPD and provides the total amount of CPD hours they have achieved.

CPD SummaryCPD Summary report showing the Structured and Unstructured CPD breakdown for each user in the hierarchy.


Usability Improvements

To improve the user experience, we’ve made a number of changes to usability. For example, report fields have been renamed, making them easier to understand and descriptions have been added to reports to give more detail on what information they provide. Improvements have also been made to the “Save As” and “Copy” features so they’re more intuitive.


Audience & Type Tagging
We’ve re-categorised all reports by type and audience to make it easier to find the report you are looking for.
You can also tag your own reports using the same categories when editing reports.

New Report Fields
New report fields have been created to help provide you with additional data that may be required in reports. For example, you can use the new “Maximum Number of Attempts” and “Has Reached Maximum Attempts” fields to see how many attempts users have at an activity and whether or not they have exceeded them.

Improved Layouts
We’ve improved the layout for reports – you can now set the width of columns to help make reports easier to read on-screen and when printed.

We’re pleased to announce SkillsServe 4.23 launched in June 2014




What’s new in this version?


Modifications to Copy Programme Feature

Is it a new feature or an upgrade? This is an upgrade to an existing feature.
How it works…

  • Newly copied programmes will now show the word “Copy” in their name.

  • Any programmes copied from an existing archived programme will now be given a status of active.


  • Any newly copied programmes will now have a blank programme code.

Date of Birth Entry in User Profile



Is it a new feature or an upgrade? This is an upgrade to an existing feature
How it works… A users date of birth can now be entered in the Details tab for the user by the Administrator The user is able to access this in their profile section when logged into their account.

SkillsServe 4.22 Release Notes

We’re pleased to announce SkillsServe 4.22 launched in June 2014.


What’s new in this version?

Configuring the Forms/Appraisal Tab

Is it a new feature or an upgrade? This is an upgrade to the Forms/Appraisals tab that is visible when managing users’ profiles.
How it works… It’s now possible to use Categories in SkillsServe to configure the Forms/Appraisals tab when looking at a user’s profile so it only shows administrators and managers the Forms and Appraisals that are relevant to certain Categories.

If this has not been configured then all forms and appraisals will show in this section by default.
Why is this beneficial? This means that you can organise and customise the Forms/Appraisals tab and filter out any that may not be entirely relevant to what you want administrators and managers to see.

An Administrator can now view the date an activity was last archived within Content Manager

How it works… Within Content Manager when filtering to show All Activities/Archived activities you will now see the date the activity was last archived on.

We’re pleased to announce SkillsServe 4.20 launched in May 2014


What’s new in this version?


Forms Content Report- Multiple Template Reporting


Is it a new feature or an upgrade? This is an upgrade to Reports in SkillsServe
How it works… When creating a report using the Forms Content Report Data source the Reporting Administrator can specify whether to report on all versions of a Form Template or on a specific version. This can be found within the Select Parameters tab.

This screen shot shows a report which will generate data for all versions of the  Annual Review Form Template. It also shows in which versions of the Form Template the individual items are available.

Please note that for existing Forms Content Reports the default behaviour is to report across all versions of a Form Template.

This screen shot shows a report for a specific version of a Form Template. Any items not relating to the Form Template will be greyed out.

Why is this beneficial? You can now produce a single report to show data across all versions of a Form Template, This will reduce data analysis and administration effort.

SkillsServe 4.19 Release Notes

 

Overview


We’re pleased to announce SkillsServe 4.19 launched in April 2014.


What’s new in this version?


A report description now appears beneath its title
Is it a new feature or an upgrade? This is an upgrade to Reports in SkillsServe.
How it works… When viewing the list of available reports (in the Reports section via the Menu) a brief description of the report will now be displayed beneath its title (as long as a description has been created for the report. This is done either when creating a report or when editing a report, in the Details section). All users will see these descriptions for reports.

Why is this beneficial? This gives a quick overview of what a report will display and therefore help to differentiate between reports.
Default or configurable? This is a default part of SkillsServe 4.19.



Additional fields are available in Activity Registration reports
Is it a new feature or an upgrade? This is an upgrade to reports in SkillsServe.
How it works… It’s now possible to report on the maximum number of attempts that are set on an activity when using Activity Registrations as the data source for a report. You can now see the maximum amount of attempts that is permitted for an activity and also if a user has reached this maximum number or not. A Reporting Administrator can select these from the Activity section in the Field Selection step when creating or editing a report.

Why is this beneficial? These fields provide more information on activities and users’ attempts at activities.
Default or configurable? This is a default part of SkillsServe 4.19.



The Success Status field now shows ‘N/A’ instead of ‘Unknown’
Is it a new feature or an upgrade? This is an upgrade to reports in SkillsServe.
How it works… Previously, the Success Status field would show activities without an assessment or test as having a success status of ‘Unknown’. Responding to feedback that this was confusing, we have amended it so it now shows as ‘N/A’.

Why is this beneficial? A lot of activities won’t have anything to report in the Success Status field because they don’t have an assessment within them and therefore no success to measure. For instance, if the user has passed a test. ‘N/A’ is a much less confusing and indicates that there’s no success status to attach to an activity.

Printable list of Event Attendees now includes Organisation of Users’

Is it a new feature or an upgrade? This is an upgrade to the printable list of Event attendees in SkillsServe.
How it works… The printable list of attendees that is available to Administrators when looking at Events in Content Manager now includes the Organisation that the users sit in.

Why is this beneficial? This change offers more information to Event organisers regarding attendees.

Heartbleed Bug

Hello,



You may’ve heard in the news that the OpenSSL Heartbleed Bug has been causing serious security issues, potentially affecting millions of sites by exposing personal information and passwords.
Please rest assured that none of the Unicorn platforms, including SkillsServe, ComplianceServe, EXAMserve, and STUDYserve, have been affected.
This is because we utilise Microsoft products and services which don’t use the OpenSSL implementation for encrypted data communications. Microsoft have officially confirmed that the encryption component we use is not susceptible to the Heartbleed bug.

SkillsServe 4.18 Release Notes

 

Overview


We’re pleased to announce the launch of SkillsServe 4.18 in April 2014.


What’s new in this version?

CPD Import and Export

Is it a new feature or an upgrade?

SkillsServe has been enhanced to give Users the ability to import and export their CPD records from their CPD Logs.

   
How it works…

CPD records can now be exported from a user’s account, either by the user themselves or by their Manager/Administrator. The records can be exported as a CSV file or as a ZIP file. The ZIP file includes any documents or files that have been attached to the CPD activities.

The exported records can then be imported into any other SkillsServe site or Learning Management System (LMS) that supports these files.

To export the CPD records, first select the CPD year you would like to export from the drop-down list in the CPD Log:

And then click on the Export button in the Actions box to begin the export.

By ticking ‘Include file attachments’ SkillsServe will export the CPD records and attachments together in a ZIP file. Unticking ‘Include file attachments’ will download the records in a CSV file.

To import CPD records, simply click on the Import button (this also displays in the Actions box).

Browse for the CSV or ZIP file you wish to import and click the Import button to confirm.

After confirming the import your CPD records will display in your CPD Log.

Why is this beneficial?

This enhancement to the CPD Log will benefit users who have moved companies and wish to transfer their CPD records from one SkillsServe to an additional or to a different LMS.

Administrators can set Emails to be be sent upon completion

Is it a new feature or an upgrade? This is an upgrade to the activity Email Reminders tool in SkillsServe.
   
How it works… An administrator is able to set up an Email Reminder to be sent to users when they complete an activity. This email type comes under Email Reminders which can be set up within an activity in Content Manager.

Why is this beneficial? This gives users an email record of their activity completions. Users will be able to easily prove they have completed an activity by searching in their emails, should it ever come into question.
   
Default or configurable? This is a default part of SkillsServe 4.18.



Administrators can specify the recipients of activity Reminder Emails

Is it a new feature or an upgrade? This is an upgrade to the Email Reminders tool in SkillsServe.
   
How it works… When setting up an Email Reminder it’s now possible to specify whether it’s sent to Users registered to the course or to their Managers. The option to choose who these emails are sent to can be found in the final step of the wizard when creating an Email Reminder. Prior to SkillsServe 4.18, Email Reminders would be sent out to registered Users only.

Why is this beneficial? This gives administrators more options when setting up Email Reminders. For instance, it may be the case that administrators do not want their Users to receive emails from SkillsServe, however, they might want their Managers to be prompted when activities are not being completed.
   
Default or configurable? This is a default option in SkillsServe 4.18.



Report Administrators can report on how many days overdue an activity is

Is it a new feature or an upgrade? This is a new field in reports using the Activity Registration data source.
   
How it works… By adding the field “Over Due Period” report administrators can see how many calendar days have passed since the Due Date elapsed for a user.

Why is this beneficial? This gives extra information available to Administrators in the reporting section of the site making it possible to quickly see how much time has passed since users have gone past Due Dates.
   
Default or configurable? This is a default part of SkillsServe 4.18.



Report Administrators can see how many days pass between an activity being started and finished

Is it a new feature or an upgrade? This is a new field in reports using the Activity Registration data source.
   
How it works… By adding in the field “Activity Time Elapsed Calendar Days” reports will show the amount of time that passed between the point when a user started an activity and when they finished it.

Why is this beneficial? This field provides more information on users’ behaviour and how they make use of the system and can give insight into how they get on with the learning.
